Streamlining visitor flow on demo days

We had 186 people surge through the lobby during Friday’s robotics showcase, and our current setup (Envoy iPad + printed badges) still bottlenecked at the elevator gates… Has anyone dialed in a flow with pre-reg QR codes that also handle NDAs, Wi‑Fi creds, and temporary lab access so founders spend less time at the desk and more time demoing?

We shaved lines by making the pre‑reg QR appear only after the NDA is e‑signed, then using it at the gate to auto‑print the Envoy badge, add guests to a 6‑hour “Demo Day Visitors” group in Kisi, and text unique Wi‑Fi creds via Splash. Are your gates tied into Kisi or another controller, @facilities? We did need a backup reissue tablet by the elevator scanner because SMS throttling bit us once.

Quick win: issue a Wallet pass after the NDA that carries a rotating QR used at the gates (Envoy + Openpath) and triggers a Meraki Guest API voucher plus a temporary lab role, so visitors ‘scan once, unlock all’ like a Disney fast pass. If you’re on Kisi or Openpath, this is pretty turnkey; Envoy’s Openpath integration is solid: Avigilon Alta formerly Openpath | Envoy What access control are you on?

Given “186 people” hitting the elevator gates, shard the flow: encode A/B/C in the pre‑reg QR, route each cohort to a dedicated turnstile/elevator bank, and run 2‑minute free‑flow pulses during peak (cameras/logs still on). We batch‑print badges by cohort and move pickup to the elevator bank to keep the desk clear — can your building enable an event mode like that, @lilyH90?

We solved this by tying the lobby scan to destination dispatch so the pass both opens the turnstile and pre-calls an elevator to the right floor — think “scan once” with Otis Compass/KONE PORT. We hang Wi‑Fi and a 6‑hour lab role off the same token; if your lifts don’t have APIs, a handheld @ops-team device can trigger the call via the vendor app. Do you have PORT/Compass or similar we can hook into?
