Smart buffers for color clients — what works

We’re an 8-chair salon, and I’m juggling color processing with walk-ins; I need a scheduler that auto-adds a 15-minute cushion after toners and quietly pings a waitlist when a 30–45 minute gap opens. Has anyone had good results with Boulevard or Vagaro for two-way SMS that feels personal and doesn’t blast clients?

General pointers welcome — case-specific steps go to our attorneys, but I want the right training Same here — what sped us up was one Acrobat Action (Action Wizard) that runs OCR, Bates with our prefix, sets page labels, and flattens in a single pass; trial notebook prep dropped about 50%. If you take the 6‑hour RelativityOne indexing, pair it with their short Analytics/Search operators lab so threading/dedup really kick in — want my Action settings to replicate?

Short answer from my side: I’m seeing the same pattern — one concrete thing that helped was writing down the exact handoff and timebox it to 15–20 min. Does that match what you’re running into?

I’ve had better luck with Boulevard: set the toner as a service with processing time, add a ‘15-minute cushion’ as Finish Time, and enable Smart Waitlist with ‘notify one at a time’ so it pings when a 30–45 gap appears — saves me from calendar Tetris. Vagaro can do it too with Service/Processing/Finish and Waitlist Auto-Notify, but the two-way SMS feels blast-y unless you throttle and personalize the template. Do you want the cushion just on toners or tied to specific stylists?

One tweak that worked for us in Vagaro: make a hidden resource called “Toner buffer,” add 15 min as Extra Time at the end of the toner add-on, and set Waitlist > Auto Notify to sequential with a 3–5 min delay so it pings one person at a time — no stampede texts… @martina_cole23 do you also limit it to gaps of 30–45 minutes so it only fires when the time is usable?
