Short CE to sharpen scheduling and communication

Has anyone completed a concise, accredited course that measurably improves appointment triage and client communication at the front desk? I coordinate a 3-provider schedule in Jane, fielding about 25–30 calls between 8–10 a.m., and I’m looking for a 2–3 hour CE that covers reschedule protocols, waitlists, and phrasing to cut back-and-forth. Recommendations with approximate time and cost would help me plan next month’s training block.

I shaved time off my morning ‘25–30 calls between 8–10 a.m.’ by bundling options: when someone needs to reschedule, I offer two exact times plus a waitlist fallback in one line — “I’ve got Tue 9:20 or Thu 1:10; if those don’t work, I’ll add you to the waitlist for any morning and message you first.” I keep Jane’s waitlist visible during those hours and use a simple text-expander shortcut for that phrasing; small caveat is it only works smoothly if all three providers agree to same-day waitlist nudges. Want the exact snippet I use, or are you set on finding a 2–3 hour CE?

I find it really helps to set clear expectations at the beginning of the call. When someone calls to reschedule, let them know right away that you can offer two specific times instead of asking them what works for them. It speeds things up a lot, especially when you’ve got 25–30 calls to juggle in that short window. Have you tried using a similar approach?

One thing that’s really worked for me is creating a checklist for new patients at the time of scheduling. It helps ensure we cover all the necessary information without missing anything important. Have you tried using one, or do you have a different approach?
